The opportunity:

Reporting to Sr. Director, Real Estate Programs the Program Coordinator will act as a shared resource for the broader Real Estate & Facilities team and will undertake a variety of administrative and program management tasks. The person filling this role will help in planning and organizing programs and activities as well as carry out important operational duties with the goal to facilitate the effective management of real estate and facilities programs in line with the overall organizational standards.

You are great at:

• Preparing, updating and maintaining various documents, spreadsheets and presentations
• Coordinating quarterly global operational facilities and real estate calls
• Assist teams with preparation of the CapEx and OPEX Budgets
• Working with Procurement and Accounts Payable to source new services, setting up new vendors, initiating purchase order requisitions, managing P-Card accruals and tracking invoices for various programs
• Various lease administration tasks including data entry, records maintenance and look-up, and report development and retrieval
• Assist with tracking and reporting of facilities related costs & expenses
• Assist with verification & validation of facilities related invoices against leases and/or other vendor contracts
• Assist with developing and documenting various departmental policies, processes and procedures
• Prepare & submit travel reports for various members of the team
• Team events planning & coordination
• Researching data on the Internet

What it takes:

• A Bachelor’s degree or College diploma in business preferred
• 3+ years’ experience of relevant coordinator experience
• Multi-tasking skills and ability to be flexible when priorities shift
• Solid knowledge of MS office (especially Excel and PowerPoint)
• Excellent ability to work independently as well as in a team environment
• Great attitude, energy and enthusiasm
• Demonstrated organizational skills with ability to manage time and priorities effectively
• Strong communication and interpersonal skills
