The opportunity:

PMO encompasses Solution, Program and Project Management Offices. The PMO Coordinator role oversees the administration needs of projects, programs and solution to support overall governance and effective performance management. They are responsible for supporting a common set of best practices, principles and templates for managing projects as well as tracking and reporting on Programs and Solution projects.

To contribute to the achievements of Ai + LegalTech + Security Consulting Practice and Professional Services, and the efficiency and effectiveness of the organization by:
•Assisting the Practice Leadership and the Project Managers by providing support and performing administrative duties
•Coordinating PMO processes, systems/tools and ensuring governance is adhered to and that reporting is actioned
•Maintaining of the PMO portals (Ms-Teams, Sharepoint, etc.), project dashboard, project financial calculators, contracting templates, mailbox, calendar and assisting with development/delivery learning and development workshops
•Supporting the Solutions & Programs in driving the organization towards:
◦interpreting the strategy into targeted initiatives
◦translating the initiatives into achievable project
◦scheduling mand maintaining a overall planning
◦coordinating information and project reporting
◦understanding the impact of projects across Practice’s business and operating models
◦supporting maintenance of Solutions & Programs tools and methodologies.
•Evolve the role and assume other duties as required by the Ai + LegalTech + Security Practice

What it takes:

•Assist the Practice RVP and Practice Directors by coordinating Project, Solution & Program activities and initiatives to improve capability, including developing training material, communications and the analysis of information
•Organise (and schedule) meetings for team. Support preparation of materials for meetings and ensure distribution in a timely manner
•Assist in compiling Project, Solution and Program status reports
•Maintain accuracy of Solution & Program plan
•Regularly update Project, Solution and Program risks, assumptions, issues and dependencies (RAID) logs
•Support with Project Health Checks
•Maintain PMO documentation and knowledge management across all PMO systems, processes and platforms (including SharePoint and other tool) and champion best practice
•Coordinate collection of feedback from the business in relation to PMO products/services e.g. platform, SharePoint, project templates and governance processes
•Day-to-day management of PMO platforms (SharePoint and PPM tool) including communications and coordinating system upgrades/enhancements
•Attend project scoping, requirements and lessons learnt workshops as required and collate action points
•Support with all Solution and Program management administration tasks e.g. archiving projects/program/solutions files
•Provide administrative support for solution and program meetings
•Support managers with the on-boarding process for new staff members
•Take minutes at meetings and capturing decisions, actions and RAIDs, ensure follow up against actions and update PMO systems (SharePoint, PPM tool) accordingly
•Act as a reference point for PMO and general Practice queries and information and be an advocate for project best practice
•Maintain processes to ensure project management documentation, reports and plans are accurate and complete
•Track and report on project, solution & program performance, providing a real-time, comprehensive and prioritised view of all project
•Oversee PMO activities in the RVP’s absence
•Other duties as assigned from time to time by the RVP
