The Opportunity:
Coordinate OpenText facilities operations in designated locations of assignment. Track costs for all North American Facility strategies and lead assigned projects. Serve as the liaison between Open Text Staff, building maintenance and other related vendors to ensure efficient operations in local OpenText facility.

You are great at: 
  • Track all costs using Cost Overview spreadsheets for North American Facility projects to review with Director.
  • Maintain direct communication with Landlord only a weekly basis to address any issues/problems
  • Control the Security costs related to TYCO (or related vendor). Enter PO’s and track costs.
  • Run assigned projects as lead.
  • Upload facility representations in CAD based software (Manhattan) within 1 week of floor plan change(s).
  • Oversee the signage for brand compliance and relevance.
  • Oversee conf room bookings, meet with organizer, manage event set ups and tear downs.
  • Identifies problems with facilities in terms of function and appearance, analyzes potential solutions and works with Manager to implement the plan.
  • Lead projects as assigned
  • Assist in maintaining efficient operations of facility.
  • Meet, coordinate and manage vendors for facility work
  • Assist in planning and preparing office/staff moves
  • Make arrangements for furniture repairs and replacements in new construction projects
  • Source new vendors for facility projects
  • Update and maintain all training manuals
  • Excellent communication within department for efficiency
  • Facility representation on the health and safety committee and first aid certified.
  • Answer the phone and greet visitors
  • Check voicemail
  • Distribute mail
  • Distribute and send faxes

What it takes: 

  • Minimum 3 years previous experience in office services role
  • Initiative and personal ownership combined with an attitude of continuous improvement
  • Strong attention to detail and follow-through
  • Adaptability and flexibility for changing priorities
  • Strong organizational skills required
  • Computer literate with standard business applications, such as Word, Excel and PowerPoint
  • Ability to work with the public, necessitating the ability to present a professional image
  • Excellent oral and written communication skills
  • Ability to work in a team environment
  • Knowledge of building and mechanical working as asset
  • Some physical labor required; ability to lift twenty pounds
  • Ability to multi-task in fast paced environment
  • The position requires a high school education with some business school training and/or previous office experience. Experience in leading projects an asset.
