The Opportunity:

The purpose of this position is to provide administrative and sales support; this would include front desk coverage, arranging travel, keeping calendars, arranging meetings, running and consolidating reports, and interfacing with customers either via phone or electronically.


You are great at:

  • Screening incoming calls and directing calls where appropriate
  • Processing and paying invoices
  • Scheduling and coordinating meetings including room, equipment, and catering
  • Coordinating both domestic and international travel arrangements and completing expense reports
  • Assisting executive in meeting preparation
  • Updating and maintaining organization chart
  • Calendar management
  • Creating and updating PowerPoint presentations and Excel spreadsheets
  • Pulling and preparing reports as required
  • Maintaining team distribution lists
  • Support new hire onboarding process
  • Direct follow-up with Field Sales Reps and Sales Management to ensure completion of assigned tasks as associated with deals
  • General support of the department
  • Acting as back-up to other Executive Administrators 
  • Special ad-hoc projects as requested

What it takes:

  • Experience working with senior level executives
  • Excellent computer skills including MS Office (WORD, EXCEL, POWERPOINT)
  • Strong working knowledge of Outlook e-mail and calendar
  • High level of professionalism, including excellent verbal and written communication skills
  • High degree of confidentiality
  • Business acumen and experience working with customers and vendors, including organizing and arranging large global and domestic customer events
  • Strong organizational and project management skills
  • Strong follow-up skills and attention to detail
  • High energy, enthusiasm
  • Proactive, self-starter
